GUIDELINES FOR CONDUCTING VIEWINGS

SETTING UP FOR THE VIEWING


LIGHTS

- strip lights off on the Ground Floor if they want an evening event or on if they want a daytime event (switches in little cupboard to the right of main doors/left of phonebox)

- use the Meross app on the iPad to set lights on Ground Floor

- disco lights on Middle Floor (remote control on Middle Floor by DJ desk)

- decanter lights on Middle Floor on medium level

- LED stair lights on leading to Top Floor (switch on stairs by radiator)

- festoon lights on Top Floor

- Neon sign on on Top Floor


MUSIC

- put on a chilled playlist on Ground and Middle Floors (using iPad, have it on a very low level).  Anything by Michael Kiwanuka works well


TOILETS

- toilets are important for a viewee

- ensure toilet rolls and hand towels are neatly organised

- ensure all bins are empty

- ensure all toilets are clean and smell nice

- ensure all toilet doors are closed


FURNITURE

- ensure window shutters are all open on the GF

- ensure cushions are organised nicely on GF (at right angles, 4 at the back, then 3, then 2, then 1)

- ensure tables and chairs are neatly arranged on the GF

- ensure bolster cushions are placed at each end of blue sofas on the MF and that the sofas dont have any crumbs on them

- ensure wire chairs are arranged next to low tables

- ensure bar furniture is arranged nicely on MF bar

- ensure curtains on MF have no gaps and are covering the mirror wheels

- ensure white curtains on TF have no gaps

BINS OUTSIDE

- ensure the bins outside are tidy and put opposite our building on the other side of the road (and not blocking any fire exists)

- ensure pathway is clear of rubbish

CONDUCTING THE VIEWING

- ensure that Karen has sent you notes about the viewings - if you dont have these before you're due in please remind me!

- welcome the client and let them know your name, see if they would like a cold drink at all (free of charge)

- chat to them about their event and what they are looking for (using the notes that Karen has supplied)

- show them the floor and explain the important bits as follows:

- all furniture is flexible and can be moved around as needed, you can have less tables and chairs on the GF

- further furniture is available (such as trestle tables and tablecloths for buffet), all furniture is free of charge to use (there is only a charge if you would like us to do the setup for you)

- projector and screen available on all floors

- all floors have great aircon/heating and fans

- great sound system (to plug device into or DJ can plug into)

- toilets (2 on GF and 5 on MF)

- bar - we can buy certain drinks in if their favourite brand is not there (dont get into discussions about bringing own drinks - refer them back to me for this)

- after the viewing i send them an email with the following info:

- drinks prices, Frequently Asked Questions, directions/parking info, link to virtual tour, link to more images, link to go ahead and book (this must be done online via this link, cannot be done at the venue)

TYPICAL QUESTIONS AND RESPONSES

These are often asked at the viewing:

q. do i get any free setup time?  ONLY Evening events get 1 hour free of charge to setup.  Daytime events do not get any free setup time atall

q. how much is it / for an extra hour / extra floor / different day etc,

a. don't discuss pricing, just refer them back to Karen (they will have my email address but it is hello@thevenueonmiddlest.com)

q. is this or that date available?

a. don't discuss availability, refer them back to Karen 

q. whats the maximum capacity?

a. 120 GF, 150 MF, 80, TF (whole venue is 300 max)

q. what's the latest end time?

a. 3am on Fridays/Saturdays, midnight all other days

q. can children attend the event?

a. yes children are very welcome as long as they are supervised there are no restirctions

q. can we decorate?

a. yes no restrictions

q. can we have signature cocktails

a. yes we can arrange with you to have no more than 2 signature cocktails, these just need to be agreed with us.  Contact Karen for more on this.
